Administrative Assistant answers all incoming calls to owners office and directs them according to priority level; Administrative Assistant is responsible for organizing and planning owner’s diary and keeping him informed accordingly; Ensures all correspondence with CRA is dealt with accurately, in a timely and professional manner; Provides typing support to owner ensuring period end reports, memos, proposals, etc are typed, completed and sent to the respective recipient in a timely manner; Organizes and expedites flow of work through owner's office and monitor follow-up action; Is responsible to log, copy and distribute all checks received in the mail for advance deposits and accounts receivable; Distribute all incoming mail.; Take meeting minutes at the staff meetings, type and distributes them, Assigns project manager for each outstanding tasks and follows up on weekly basis on progress; Develops edits and distribute documents; letters, and other correspondences as directed by Owner; Monitor daily calendar of appointments; Provide back-up support for various department administrative staff when needed; Assist with special projects and administrative support for other staff; Coordinate servicing of office and kitchen equipment with Office Manager; Prepare correspondence, coordinate meetings and execute travel arrangements; Arranging various seminars, social events, and civic duties; Prepare materials and presentations for the owner; Collaborate closely with administrative teams for scheduling meetings and events; Maintain high standards of personal appearance and grooming, which include wearing proper business attire.
